Welcome kiosk quick-start guide
About 10 minutes. You'll need your office's kiosk link (from Settings โ Links, or your setup page) and the tablet's passcode.
Before you start
- Put the tablet where patients see it first, ideally on a stand or wall mount plugged into power. It stays on all day.
- Connect it to your office Wi-Fi. A guest network is fine.
- Get the kiosk link onto the tablet without typing it. Email or text it to yourself and open it on the tablet, or AirDrop it from a Mac or iPhone.
iPad
1. Open the check-in screen
- Open the kiosk link in Safari. You should see your office name and the check-in buttons.
- Tap the Share button (the square with an arrow โ), then Add to Home Screen.
- Name it Check In and tap Add.
- Close Safari and open Check In from the Home Screen. It opens full-screen with no address bar.
2. Keep the screen on
- Open Settings โ Display & Brightness โ Auto-Lock and choose Never.
- Optional: turn on Do Not Disturb in Control Center so notifications don't pop up over the check-in screen.
3. Lock the iPad to the check-in screen (Guided Access)
This stops patients from leaving the check-in screen or opening other apps.
- Open Settings โ Accessibility โ Guided Access and turn it On.
- Tap Passcode Settings โ Set Guided Access Passcode and pick a code only staff know.
- Tap Display Auto-Lock and choose Never.
- Open Check In from the Home Screen.
- Triple-click the top button (or the Home button on older iPads), then tap Start.
To get out of Guided Access (for updates or to charge elsewhere): triple-click the same button, enter your Guided Access passcode, and tap End.
Android tablet
1. Open the check-in screen
- Open the kiosk link in Chrome.
- Tap the โฎ menu, then Add to Home screen (or Install app). Name it Check In.
- Open Check In from the home screen.
2. Keep the screen on
- Open Settings โ Display โ Screen timeout and choose the longest option.
- To keep it on for good while plugged in: Settings โ About tablet, tap Build number 7 times to turn on Developer options. Then go to Settings โ System โ Developer options and turn on Stay awake.
3. Lock the tablet to the check-in screen (App pinning)
- Open Settings โ Security (or Security & privacy โ More security settings) and turn on App pinning (also called Screen pinning). Turn on Ask for PIN before unpinning.
- Open Check In, open the Recent apps view, tap the app's icon at the top of its card, then tap Pin.
To unpin: hold Back and Recent apps together (or swipe up and hold, depending on the tablet), then enter the tablet's PIN.
Staff computers
- Open the staff board link in Chrome, Edge or Safari on each computer that should be alerted.
- Enter your office's staff PIN. The computer stays signed in for 30 days.
- Click anywhere on the board once. Browsers only allow sound after a click, so do this or you won't hear the chime.
- Click ๐ฌ Pop-ups off to turn pop-ups on, then click Allow. Now staff get a pop-up even when they're working in another program.
- Pick your team from the filter at the top (for example Opticians) so you only see the patients who are yours.
- Leave the tab open all day. Right-click the tab and choose Pin so it doesn't get closed by accident.
Exit reviews & Google reviews
The kiosk's welcome screen has a โญ Leaving? Rate your visit button. Patients rate their visit 0โ10 and can leave a comment. Patients who give you a high score then see a QR code for your Google review page, which they scan with their phone camera.
1. Get your Google review link
- On a computer, sign in to the Google account that manages your practice's Google Business Profile.
- Search Google for your practice name. Your Business Profile tools appear at the top.
- Click Ask for reviews (sometimes called Get more reviews) and click Copy link. It looks like
https://g.page/r/โฆ/review.
2. Add it in Settings
- Open Settings with your manager PIN and scroll to Exit review.
- Make sure Show the review button on the kiosk is checked.
- Paste your link into Google review link.
- Under Show the Google QR code to, choose who sees it: 8 or higher (the default), 9 or 10, or everyone. Google's review policy discourages showing it only to happy patients, so "Everyone" is the fully compliant choice.
- Click Save changes. The tablet picks up the change within about a minute.
3. See your results
In Settings โ Patient feedback you'll see your NPS (Net Promoter Score) for the last 90 days, how many patients gave each score, and their comments. Reviews are anonymous: no patient names are stored.
Tip: ask the front desk to mention it at checkout ("If you have a second, tap Rate your visit on the way out!"). That's what gets people to use it.
Test it
- Check yourself in on the tablet as "Test T."
- Within a second it should appear on the staff board with a chime.
- Click Remove on the test card to clear it.
- Tap Leaving? Rate your visit, choose 10, and check that the Google QR code appears (once your link is saved). Scan it with your phone to make sure it opens your review page.
Troubleshooting
- "Check-in is unavailable": the tablet lost Wi-Fi. It retries on its own every 15 seconds.
- "This kiosk link is not valid": someone made a new kiosk link in Settings. Open the new link on the tablet and add it to the Home Screen again.
- No chime: click once on the staff board page, check that ๐ says Sound on, and check the computer's volume.
- No pop-ups: allow notifications for this website in your browser's settings. On a Mac, also check System Settings โ Notifications for your browser.
- Staff board asks for the PIN again: the PIN was changed in Settings. Enter the new one.
- Want different buttons or wording? Open Settings with the manager PIN. Changes show on the tablet within about a minute.
